The welcome email arrives with your new address in it, and the first thing you want to do is paste it everywhere. The website footer. The invoice template. The bank profile. Your driver license renewal. Hold on a second, because those aren't the same kind of place.
Some of them welcome a virtual office address. Some reject it on sight, and a couple will get you into real trouble if you try. We sell these addresses, so we'd love to tell you it works for everything. It doesn't. Here's the honest map, as of October 2026. It's general information, not legal or tax advice.
First, what a virtual address is
A virtual office address, or virtual mailbox, is a street address you rent for your business. A team there receives your mail, shows it to you, and scans or forwards it when you ask. In US postal rules, a business that receives mail for customers is called a CMRA, a "commercial mail receiving agency," and your address carries a "#" and a mailbox number. Ours reads "2125 Biscayne Blvd, Suite 300 #" plus your mailbox number, Miami, FL 33137.
So it's a real address in a real building. But it's an address for mail and for the business's public face, not the place where you live or where your desk is. Keep that in mind and most of the answers below are obvious.
Where it works well
Your website, invoices and contracts
This is the everyday job. A Miami address in your website footer, on your invoices, in your contracts and in your email signature looks like a company, not a living room. Clients who want to send you a check or a signed document have somewhere to send it, and your home stays out of it.
Your Florida LLC's mailing address on Sunbiz
Sunbiz is the Florida state website where LLCs (limited liability companies, the most common small business in the US) are registered and where anyone can look them up. Florida lets your LLC's mailing address be a P.O. box, a commercial address or even a foreign one (Sunbiz filing instructions), so a virtual address fits that line easily. The manager's address on the annual report can be a business address too.
The principal office line is the exception. It must be the street address where the business is actually run, and whether a mailbox-style address counts is a gray area. Our guide on keeping your home address off Sunbiz explains each line.
IRS mail
The IRS, the US tax agency, writes to the mailing address it has on file for your company. The form you used to get your EIN (your company's US tax number) lets that mailing address be a P.O. box, so a mailbox address fits (Form SS-4). If you change it later, you use Form 8822-B. With scanning, an IRS letter can be on your phone the day it's logged instead of weeks later. Use it as the mailing address, though. We haven't found any IRS statement on mailbox addresses as your business location.
Letters from clients, banks and the state
Statements, renewal notices, checks, a signed contract back from a client. Anything that comes by post can come here, as long as it's addressed to you or a company on your PS Form 1583, the short USPS permission form you sign when you open the mailbox.
Where it depends: banks and payment platforms
This is where people get stuck. Banks and payment companies usually ask for the address where your business really operates, not where its mail goes, and many check.
Some are explicit. Mercury, an online business bank, doesn't accept virtual addresses, mailbox services or registered agent addresses as the company address (Mercury, company address requirements). Others don't say. Each bank and platform sets its own rules, so ask before you apply. We go platform by platform in which address to give your bank, Stripe and others.
Where a bank lets you add a separate mailing address, statements and cards can still come to your mailbox. That part usually goes smoothly.
Where it doesn't work
As your home
A virtual address is never a residence, and Florida is clear about it. In a 2018 opinion, the Florida Department of State looked at people who listed a mail service's office as their address on a declaration of domicile (a sworn statement that Florida is your permanent home) and concluded that, since they didn't live there, the declaration didn't establish a legal residence at that address (Department of State opinion DE 18-09).
The same goes for a Florida driver license. You prove a residential address, normally with two documents, and county tax collector offices that issue licenses say a P.O. box won't do (Pasco County Tax Collector). A mailbox address isn't where you live either, so don't use it there. Anything that asks where you live, from a lease application to a tax residency question, wants your real home.
As a registered agent
Florida requires every LLC to have a registered agent, a person or company that accepts lawsuits and legal papers for it, at a Florida street address with someone present during business hours (s. 48.091). A mailbox can't do that job, and Prima doesn't offer registered agent service. You'll need a separate one.
As a Google Maps listing
You can put the address on your website, but not on Google Maps as your business location. Google says that if you rent a mailing address but don't operate from it, the location isn't eligible for a Business Profile (Google Business Profile guidelines). Service businesses can usually hide their address and show a service area instead.
As a warehouse or shopping address
A virtual office handles your business mail and, on some plans, a few packages. It isn't a place to store inventory, run returns for an online store, or have your personal shopping shipped and sent on to another country. That's a different kind of service.
A quick way to decide
Ask what the form really wants. "Mailing address" or "where should we send letters?" Your virtual address is a good answer. "Where do you live?" or "Where does the business physically operate?" It probably isn't, and an honest answer now saves an awkward correction later.
Where Prima fits
Prima is a virtual mailbox that grows into a virtual office, at 2125 Biscayne Blvd in Miami. Our team receives your mail in the building, every envelope shows up in the app, and you choose to scan, forward or pick it up. You sign Form 1583 online with a notary on a video call, included in every plan. The Business plan adds a Miami phone number that rings your own phone and a service agreement you can show as proof of your business address, which some institutions accept and others don't.
